Medical office moving

Coordinate the office move around your practice.

BMG helps medical practices plan the physical move of office furniture, administrative workstations and boxed office supplies. One project manager coordinates the agreed moving work across Orange County and Los Angeles County.

Define the office-moving scope

Reception and administrative areas

Plan the move of reception desks, waiting-area seating, administrative workstations and ordinary office furniture to the practice’s approved layout.

Office storage and supplies

Identify shelving, office storage and boxed nonclinical supplies. Agree who packs them, the destination labels and any items that need separate review.

Furniture changes within the practice

Coordinate agreed furniture installation, reconfiguration or an internal office move around occupied areas, access rules and the practice’s work schedule.

Assign records, clinical equipment and IT to the responsible providers

The practice’s privacy and security leads decide who may handle records and data-bearing devices, and approve the required safeguards and vendor arrangements. Share furniture descriptions and destination identifiers that help the moving crew place items without including patient information. The practice can review the HHS Security Rule guidance with its compliance team.

Clinical devices, imaging systems, medical gases, medicines, specimens and other specialist materials need plans from their responsible manufacturers or qualified providers. Confirm shutdown, handling, transport, calibration and restart responsibilities separately from the office-furniture scope.

Your IT team owns backups, system shutdown, reconnection and testing. The practice and its clinical providers determine when patient services can resume.

Connect the moving schedule to the practice’s plan

  1. Review the office inventory. Separate the furniture and ordinary office contents from records, clinical assets and specialist work.
  2. Confirm both buildings. Review room destinations, loading routes, elevators, permitted hours, insurance requirements and the approval contacts.
  3. Agree the written work and handoffs. Identify packing owners, access permissions and the responsibilities of the practice, moving crew, IT team and specialist providers. Confirm price and dates after review.
  4. Walk the agreed areas. Check furniture placement, reconcile moved items and record outstanding work with the practice’s designated contact.

Phased, evening and weekend work can be discussed around the practice’s operations. The work window depends on building approval, the agreed scope and crew availability.

Prepare a practical walkthrough brief

  • General furniture and workstation counts, origin and destination cities, and the proposed layout.
  • Building access, loading and elevator rules, permitted hours and insurance requirements.
  • Your target dates and the contacts approving office placement, IT handoffs and specialist work.

Use general inventory descriptions in your request. Keep patient information and clinical records in the practice’s approved channels.
